PrivacyPerfect has a built-in status-based workflow. It uses the 'Status' set for each processing record to trigger a certain workflow: Draft, Provisional, Requested, Approved, Disapproved, Withdrawn, Redundant.
A record is created and is automatically has the status set to 'Draft'
Once the record is completed and is set to 'Provisional' or 'Requested', the record will be locked from editing, and the Privacy Officer of the organisation will be notified for their need of action.
The Officer can then decide to mark them as Approved, Disapproved, or Redundant.
Set up an organisational hierarchy and make sure each user has the proper rights for viewing and editing privacy records. You can customize each user's access, or use the standard roles within the software.

Using SSO (Single Sign-On), users can access PrivacyPerfect without the need for an additional user name and password. This means that you only have to logon to the software once.
Multi-factor authentication (MFA) is also an option to take your security measures further. This feature allows the administrator of software to set MFA to off, optional, or obligatory, for each role. When active, a user should use a mobile app to generate a so-called one-time passwords (OTPs) when logging into PP. This increases security of password combination as users can authenticate on the internal company network.
